OE Duplicate Remover - User Guide and FAQ

The Main Window
- All operations are initiated from the main window.
- Once started, the main operation is done via a "wizard" type interface.... you are guided through each step of the operation.
- Click the "Start" button to begin the process.
Select OE Identity
- Select the Identity to process.
- Click "Next Step" button to proceed.
Select Folders to Search
- The list of POP3 mail folders will be shown.
- Select (check) the folder (or folders) to be checked for duplicates.
- The number of messages in each folder is shown beside the folder name.
- Click "Next Step" to proceed.
Set Match Criteria
- Check the "Conditions to use for the "Match"
- The first four conditions are generally sufficient.
- The "Message Text" comparison requires significantly more time. It would generally only be required for very rare cases.
- You may choose to search for messages by date by checking the "Ignore messages before" or "Ignore messages after" boxes.
- In general, the "Deleted Items" folder and all folders subordinate to the "Deleted Items"
folder would be excluded from the search. These can be included if you wish.
View Duplicates
- The folders with duplicates will show a "count" in the "Dups" column. Note, the a message may be shown as a duplicate in one folder with the matching duplicate in another folder (i.e. the duplicates are not necessarily all within the same folder.
- To skip further processing of a folder "Uncheck" the folder.
- Double click on a folder with "Dups" to view the duplicate message list:
- Double click on a message item to view the actual message.
Set Action Parameters
- For each "group" of duplicate messages, the first message found which matches one of the conditions in "Match Priority" will be retained.
- If no message matches (or if no match priority conditions are checked), the first message found (in the folder list order) will be retained.
- The default action is to move the excess duplicate messages to a folder named "DupeMsgs [YYYY-MM-DD]". For example, the folder would be named "DupeMsgs 2005-12-25" if the process was done on Christmas Day.
- The "DupeMsgs......" folder is always placed under the Deleted Items folder.
- You may also choose to move the duplicate messages directly to the "Deleted Items" folder, or, simply delete the duplicates.
- Click to move or delete the duplicate messages.
When finished
- When finished, (i.e. after the duplicate messages have been moved or deleted), the number of messages processed and skipped will be shown:
- Moving or deleting messages does NOT free up space in the Outlook Express message folders. The original messages continue to occupy space until a "Compact" is done on the message folder or folders.
- To Compact a folder, (a) run Outlook Express, (b) select the folder, (c) go to the Outlook Express menu "File" - "Folder" - "Compact".
- You may also compact all folders using the Outlook Express menu "File" - "Folder" - "Compact all Folders".
- Note: the compact operation may result in loss of messages. This is due to errors within the message folders in Outlook Express. It is NOT a result of the removal of duplicates.
- Before compacting, it's strongly recommend that a backup is made of the Outlook Express message folders.
