Working with the Program
Folders Tab
On this tab you can select folders to be searched for duplicates. You can select all of them or some certain folders. If the Inbox and the Deleted Items are among those folders, they will be searched last. Messages that are already placed into folders or haven't been deleted, take the priority.
Fields Tab
On this tab you can specify fields by which the messages will be compared. By default, the Text, Subject, Sender e-mail and Sender name fields are selected. These are the main fields for comparison, and you can't remove or change them. If one of these fields is not the same for two messages, they are not considered duplicates. You can also select additional fields for comparing messages:
- Recipients
Message recipients. If this field is selected, and two similar messages have different recipients (for example, in the CC or BCC fields), such messages will not be considered duplicates.
- Sending date and time
Date and time when the message was sent. If it's selected, duplicate messages that have different date and time of sending will not be considered duplicates.
- All other message fields
If it's selected, all other message fields are scanned. A message has some invisible fields besides those you can see in Outlook Express. They contain information about language encoding of the message, the time when it passed through mail servers and much more. If the message was received via a standard mail delivery system, these fields are unique even for similar messages. But in some cases, for example when you import or synchronize mail, messages can be completely identical, including the additional fields.
- Attached files
If it's selected, files attached to the message are also checked. In most cases, it's unnecessary because duplicated messages rarely have different attachments. But it can happen if there are errors in mail delivery and processing.
Options Tab
On this tab you can specify additional parameters for searching and processing duplicated messages.
When a duplicate message is found, the following action should be applied:
- Delete (Move to Deleted Items folder)
This action is applied to the duplicates by default- they are moved to the Deleted Items folder. Still, if you want to get the duplicates back, you can always find them in the Deleted Items.
- Delete permanently
Duplicated messages will be deleted without a chance of recovery. Select this variant if you are sure you're doing everything right and don't want duplicates to mount up. This action is a little faster than all others.
- Move to the selected folder
This action works just like moving duplicates into the Deleted Items, but this time you can select a certain folder and move them there. For example, you can select a folder named "Dupes" and will know for sure that it contains only duplicates you have found and not messages you deleted before.
- Copy to the selected folder
Instead of moving duplicates to another folder or deleting them, you can copy them to a selected folder. This variant is useful if you want to check if your settings are correct and everything works as you want.
- Apply the action to mail messages received within
Here you can specify the period when duplicates were created. The receiving date is the date when you got the message from the e-mail server. If duplicates appeared after your last connection with the mail server, you should select the present day as the search period to delete them. If duplicates appeared after synchronization or import, one day may not be enough, as messages were probably received earlier.
